CONFERENCE LIVE STREAMING

Conference live streaming can be a powerful way to reach your audience, whether it’s a meeting, seminar, workshop, or any other type of event.

However, technical hiccups and poor production can undermine the experience.

This guide outlines a practical three-step approach to delivering reliable, professional live streams for corporate events.

Step 1 – Finding the right type of streaming platform for your event.
Step 2 – A checklist of technical and logistical must-haves.
Step 3 – Visualise the experience with our Streaming Packages

We provide conference live streaming services in Sydney, Newcastle and across NSW.

Step 1 – Choosing a platform for conference live streaming

Choosing the right platform is one of the first steps when planning a conference live stream.

In many cases, organisations look to use a platform they already have in place – one that is approved internally and familiar to their staff.

Whether that platform is suitable depends on the requirements of the stream. In some cases it may work well as is, while in others additional considerations come into play.

These requirements – such as privacy, access control or content restrictions – are explored further in this step of the guide.

This is why platform choice matters – it shapes how your audience joins, interacts, and experiences the event.

Choose your streaming platform

Selecting a suitable platform remains an important step when planning a conference live stream.

The platform shapes how your audience joins the event, interacts with presenters, and accesses the broadcast.

When evaluating your options, consider:

  • Reliability and uptime: Ensure the platform can handle your audience size without interruptions.

  • Access control and security: Consider registration requirements, passwords or restricted access.

  • Audience interaction features: Chat, polls and Q&A tools can help keep viewers engaged in real time.

  • Integration with existing AV setups: Make sure the platform works smoothly with your venue’s audio, lighting, and camera systems.

  • Hybrid event compatibility: Some platforms allow both in-person and remote audiences to participate more seamlessly.

  • In practice: Platform choice is just one part of the overall setup. A smooth and engaging result also depends on how the event is produced and managed on the day.

In most cases, conference live streaming platforms fall into three main categories:

A) Free platforms (e.g., YouTube, Facebook Live)

Pros

  • Cost-effective: No fees required to stream, making it an accessible option.
  • Wide reach: Built-in audience with millions of active users.
  • Easy to use: Simple setup and user-friendly interfaces.
  • Real-time interaction: Live comments, reactions and sharing.
  • HD streaming support: Suitable for professionally produced video.

Cons

  • Limited customisation: Less control over branding and presentation.
  • Platform ads: Ads may interrupt the viewing experience.
  • Privacy limitations: Public access can be unsuitable for corporate or private events.
  • Copyright restrictions and automated detection: Streams may be blocked or taken down automatically if copyrighted material is detected (audio or visual).
  • Limited analytics: Basic viewer data, with limited reporting depth.

B) Video conferencing platforms (e.g., Zoom, Microsoft Teams)

Pros

  • User-friendly: Easy to set up with minimal technical experience.
  • Interactive features: Screen sharing, chat and participant tools.
  • Security controls: Passwords, waiting rooms and moderated access.
  • Integration: Works well with calendars, email systems and internal tools.
  • Flexibility: Suitable for small meetings through to larger sessions.

Cons

  • Limited broadcast-style features: Primarily designed for meetings rather than polished broadcasts.
  • Security risks if misconfigured: Uninvited access can occur if settings are not properly managed.
  • Licensing requirements: Larger events may require paid plans and platform familiarity.
  • Copyright risks: Unauthorised use of protected content may create issues.

C) Professional streaming platforms (e.g., Vimeo, Dacast, BigMarker)

Pros

  • Reliable delivery: Designed for stable, high-quality streaming to larger audiences.
  • Advanced customisation: Greater control over branding and presentation.
  • Detailed analytics: In-depth reporting on audience engagement.
  • Monetisation options: Pay-per-view, subscriptions or controlled access.
  • Stronger security: Features such as password protection, geo-blocking and encryption.

Cons

  • Cost: Subscription or licensing fees can be significantly higher.
  • Technical complexity: More advanced setup and configuration.
  • No built-in audience: Requires external promotion.
  • Tier-based limitations: Features may vary depending on plan level.
  • Complex comparison: Pricing and features vary widely between providers.

Where Thor Productions fits in

We focus on the production side of live streaming – delivering broadcast-quality video, audio and program output.

This allows organisations to continue using the platforms they already rely on, while improving the overall viewing experience.

Step 2 – Production and logistical requirements for conference live streaming

Once the platform is defined, the focus shifts to how the event is set up and delivered.

This is where most of the practical challenges arise, and where early planning makes a significant difference to the final result.

In practice, this usually comes down to a few key areas:

Access to venue & parking

Confirm load-in times, parking and contractor requirements to keep production on schedule.

Some venues require inductions or have specific access protocols. Coordinating this early helps avoid delays and ensures equipment can be set up efficiently.

General AV requirements

Confirm the venue’s AV setup, including monitors, projectors or IMAG (Image Magnification) screens.

Check for lecterns, stage or camera risers, and any restrictions on camera placement.

In-house lighting is often designed for the room, not for video, so additional lighting may be required.

Audio management

Clear, synchronised audio is critical for online audiences.

Check for potential venue limitations, such as restricted external audio feeds or automated microphone controls. Manual adjustment may be required during the event.

Discuss these factors with the venue, in-house AV and your production team in advance.

Lighting and camera positioning

Proper lighting and camera placement ensure presenters are clearly visible and engaging for online audiences.

Allow sufficient space between presenters and the audience, and elevate speakers where possible to maintain a clear line of sight.

Thor Productions live streaming guide technical explanation

Tighter spaces can make it difficult to capture a clear, unobstructed wide shot.

Providing more space between presenters and the audience allows for clearer wide coverage. Elevation helps ensure presenters remain visible and engaging throughout the stream.

Redundancy in production

Multi-camera production naturally provides resilience during live broadcasts.

If one camera view is obstructed or needs adjustment, another angle can be used without interrupting the program.

All cameras should record internally, ensuring the event is preserved even if the live stream encounters issues.

Backup and connectivity

Where required, mobile internet connections can be used when venue internet is unavailable or unreliable.

For events requiring higher levels of redundancy, dual-stream delivery to separate servers can also be arranged.

Liability insurance

Venues typically require public liability insurance to cover accidents, injuries, or property damage. All electrical equipment must comply with Australian safety standards, including being tested and tagged, to prevent safety hazards during the event.

  • Note: Careful planning across these areas helps ensure the live stream runs reliably and reflects the quality of the event for both in-room and remote audiences.

Step 3 – Conference live streaming packages

Choosing the right setup

The appropriate streaming setup depends largely on the size of the event and the level of production required for the online audience.

Smaller meetings and internal events often work well with a single-camera stream. Panel discussions and conferences typically benefit from multiple camera angles and slide integration, while larger hybrid events may require a dedicated streaming technician and more advanced production features.

The packages below reflect these common scenarios and can be adapted to suit your event.

Package Comparison

Key package components of a live stream setup

Each package includes a core set of elements designed to deliver a reliable and professional result. These can be adjusted depending on your requirements.

1. Camera set up

We use broadcast-quality cameras suited to corporate environments, with strong low-light performance, professional audio inputs, and the ability to eliminate flicker from LED screens or lighting.

2. Lighting

We include a basic lighting setup to improve visibility and video quality. This works well in small to medium-sized spaces, while larger venues may require additional lighting depending on the setup.

3. Audio Setup

We coordinate with you and the venue to ensure clear audio for both the cameras and the audience. One wireless audio feed to the cameras is included as standard.

4. Recordings and Backup

The entire event is recorded as it is delivered to the streaming platform. In addition, each camera records internally to provide a full backup.

Streaming workflow options

Live streams are typically delivered in one of two ways, depending on the platform and event setup.
